Add On-the-Job Learning Plan

On-the-Job Learning (OJL) is the practical application of an apprenticeship.

OJL is often the piece of an apprenticeship that provides the greatest value. The apprentice learns while doing and their productivity brings value to your company.

OJL can be as short as 2 months (or 1 year for federally registered apprenticeships) and includes a list of competencies you plan to teach the apprentice.

Click Step 6: On-the-job plan

  1. Click Add OJL Plan.

    1. If you selected one of the over 50,000 jobs in Apprentix, you will see a pre-populated list of job functions (also known as work processes) and the competencies required to achieve them.

    2. If you are creating a custom apprenticeship, you can add a Job Function first and then add competencies under them.

  2. Add Job Functions

    1. Manual Method:

      1. Click the "Add Job Function" button to add a new function.

      2. Enter a concise and descriptive name for the function.

      3. Click the "Add Competencies" button next to the function to add competencies.

    2. Import from CSV:

      1. Click the "Import" button

      2. Download the provided template.

      3. Fill in the template with job functions and competencies, including names, descriptions, and (optional) leading numbers for sorting.

      4. Ensure the file has less than 200 rows (If you have more you need to split them into multiple files).

      5. Upload the file to Apprentix, choosing to either replace or add to existing data.

  3. Add Competencies

    1. Click the Add Competency button to the right of the Job Function where you want the Competency to appear.

      1. Competency Description - Provide a detailed one-liner to make it clear to the apprentice what the competency is that they need to achieve.

      2. Competency Type - you have three options:

        1. Technical - selecting this will display another field for you to enter “Hours Required”.

          1. Hours Required - this is where you enter the hours required in this competency. Apprentices will track their time and allocate hours to this competency to complete it.

        2. Behavioral - this competency does not have hours but instead, must be overserved through evaluations.

        3. Technical - this competency does not have hours but instead, must be overserved through evaluations.

      3. Related Materials - this field is visible by the Apprentice.

    2. Click Save changes

  4. Manage Functions & Competencies

    1. Reorder: Add a leading number to the name of a function or competency to specify its desired position (higher numbers appear higher on the list).

    2. Edit: Hover over the three dots to the right of the Job Function and click on Edit.

    3. Delete: Clicking on Delete will permanently delete the Job Function and all the competencies associated with it.

    4. Click Save & continue

  5. View Competencies

    1. Click on the arrow to the left of the first Job Function to expand it.

    2. A list of competencies will appear.

Note: All apprenticeships are set to have a 2,000-hour minimum including competency-based and hybrid training approaches. Therefore, you will need to enter at least 2,000 hours into different competencies so that the apprentice knows where to spend their time. For apprenticeships where the duration is defined to be longer than 2,000 hours in Step 1, you will need to enter enough hours to satisfy your apprenticeship’s duration or modify the duration in Step 1.

FAQ: How do I make the links clickable? Since on-the-job training is more about hands-on skills, we don't have links there. We just describe work that needs to be done or provide a description of what the competency means. If you want to link to a training course, we recommend using the "Classroom" plan to create it.
