The Notification Center in the Compliance Center allows you to customize automated notifications to stay informed about compliance tasks.

Notification Settings

Below are the available notification settings, each with specific purposes and optional parameters:

  1. Add Your First Apprentice

    • Notifies you to add your first apprentice when creating a new program.

    • Useful for partners managing employer programs to prompt employers to take action.

  2. Insufficient Classroom Hours

    • Alerts you when an apprentice reaches 2,000 hours of on-the-job training but has fewer than 144 classroom hours.

    • Specifies the apprentice and the hours deficit.

  3. Evaluate Apprentices

    • Sends recurring reminders (7, 15, 30, 60, 90, or 120 days) to admins or managers to evaluate apprentices on specific skills.

    • Applies to hybrid or competency-based programs.

  4. Complete Apprentice Registration

    • Notifies admins to register apprentices with the Department of Labor and enter their apprentice ID in Apprentix.

    • Essential for partners managing multiple employers.

  5. Davis-Bacon Certificate Update

    • Reminds you to renew Davis-Bacon certificates every 90 days for prevailing wage jobs.

    • Clears notifications once updated certificates are uploaded.

  6. Approved Timesheets

    • Notifies managers or admins to approve apprentice-submitted timesheets.

    • Toggle off if office staff enter time on behalf of apprentices.

  7. Review Evaluation Request

    • Alerts managers when apprentices request evaluations for specific competencies (hybrid or competency-based programs).

  8. Review PE Credit

    • Allows apprentices to request previous experience credit (classroom or on-the-job hours) and notifies admins to approve or reject.

  9. Wage Increases

    • Notifies you when an apprentice reaches a milestone (e.g., 1,000 hours) requiring a wage increase, based on your configured rates.

  10. Update Apprentice Status in RAPIDS

    • Reminds you to update apprentice status (active, completed, suspended, canceled, or reinstated) in RAPIDS within 45 days of a change.

    • Ensures compliance with Department of Labor requirements.

  11. Make Sure Time Has Been Added Within the Last Month

    • Checks daily for apprentices with no time entries in the last 30 days and provides a list for follow-up.

    • Enter zero hours for inactive periods to avoid compliance issues.

  12. Out of Compliance

    • Sends urgent notifications (with warnings) if tasks, like missing time entries, remain incomplete after a 15-day grace period (45 days total).

  13. Remind Apprentice to Submit Time

    • Sends periodic reminders (7, 15, 30, or 45 days) to apprentices to submit their timesheets.

    • Toggle off if office staff handle time entries.

  14. Remind Apprentice to Request Evaluations

    • Sends reminders (7, 15, 30, 60, 90, or 120 days) to apprentices to request evaluations for hybrid or competency-based programs.

  15. Add, Complete, Dismiss, or Suspend Apprentices

    • Sends recurring reminders (30 or 45 days) to review and update apprentice statuses in Apprentix.

  16. Review and Modify Training Plan

    • Reminds admins to review and update classroom and on-the-job training plans (30, 60, 90, 120, or 365 days).

    • Ensures plans align with business needs and regulatory requirements.

How to Configure

  1. Log in to Apprentix and go to the Compliance Center.

  2. Select the Notification Center tab.

  3. Choose Daily Tasks or Weekly Overdue Tasks (or both) for email notifications.

  4. Enable or disable each setting and configure parameters like recurrence or start dates as needed.

  5. Save your settings to activate notifications.

Why It Matters

The Notification Center automates compliance monitoring, ensuring you’re alerted to critical tasks like registering apprentices, updating RAPIDS, or renewing certificates. This keeps your program compliant without manual tracking.
