The Allocations feature in Apprentix is the easiest way to enter total apprentice hours for a payroll period and automatically distribute them across classroom learning and on-the-job training (OJT). It’s designed to keep your program aligned with Department of Labor (DOL) requirements while reducing manual entry.

How Allocations Work
Go to Manage Portal > Performance Tools > Time Tracking
Click Actions > Allocations
Select the payroll period (e.g., Oct 24–31)
For each apprentice, enter the total hours worked that week
Once hours are entered, you’ll use a slider to allocate them between classroom and OJT. The default setting is 3 hours for classroom and 37 hours for OJT, based on DOL’s recommended 2,000:144 hour ratio.
You can adjust the slider to fit actual weekly learning time.
Split Methods: Even vs. Proportional
After setting the split, choose how to distribute hours across specific courses and competencies:
Even Split
Distributes hours equally across all courses (classroom) and competencies (OJT)Proportional Split
Distributes hours based on each course or competency’s required hours in the apprenticeship program

Final Steps
Once hours are split:
Click Apply Split
Review and adjust individual hour entries if needed
Click Save All Allocations
Go to the Pending tab, review entries, and click Approve
⚠️ You’ll see alerts if hours are under- or over-allocated. All hours must be fully allocated before you can submit.
