Bulk Add On-The-Job Plans

From the Manage Portal

  1. Open Apprenticeship Details

  2. Go to On-the-Job Plan

  3. Click on Import

    1. Step 1: Download the template: competencies_template

    2. Step 2: Fill out the template

    3. Step 3: Upload the completed template below

  4. Select whether you would like to

    1. Delete existing data

    2. Add to existing data

  5. Click Import

Filling out the Template

  1. Delete the content in rows 2 to 6

  2. Do not modify the headers

  3. Do not delete or add headers

  4. You must fill out at least the following columns in order for the upload to succeed.

    1. Job Function - Enter a few descriptive words

    2. Competency Description - Enter a few descriptive words

    3. Type - Enter either Technical / Behavioral / Technology

      1. Technical = hours required

      2. Behavioral = evaluation required (not time)

      3. Technology = (not applicable)

    4. Core - Enter either Yes / No The other columns are optional

  5. Category - optional

  6. Hours Required - Enter a number

  7. Related Materials (Subtopics) - Enter a sentence or two.

  8. Save the file (it should save as CSV by default, do not use XLSX)

Manage Functions & Competencies

  1. Reorder: Add a leading number to the name of a function or competency to specify its desired position (higher numbers appear higher on the list).

  2. Edit: Hover over the three dots to the right of the Job Function and click on Edit.

  3. Delete: Clicking on Delete will permanently delete the Job Function and all the competencies associated with it.

  4. Click Save & continue

Note

Hours Required = Only applies to Technical competencies. When you enter the hours required, this is the minimum hours required. When the apprentice tracks their time, they will be able to track time against only the competencies that have a time requirement. If there is no time requirement, select Behavioral and leave the hours required field blank. This means an apprentice will not submit time against that competency, but instead can request to be evaluated.
