How to Add Instructors

If you want to separate the approval responsibilities between Instructors and on-the-job Managers, follow these instructions.

How to Add Instructors

  1. You must first add all your Instructors to an apprenticeship using the Manager role.

  2. Then go to People and click on the Cohort tab and click the New Cohort button.

  3. Select the Instructor you want to assign to that Cohort as the Cohort Manager.

    1. Instructors can be assigned to multiple Cohorts.

  4. Go to the Bulk Actions tab and assign apprentices to that Cohort.

    1. The Instructor will only be able to view apprentices assigned to their Cohorts.

  5. In Bulk Actions, you can also select the Manager for each apprentice which designates who will handle on-the-job approvals for time and evaluations.

    1. Managers will only see apprentices directly assigned to them as well.

How Instructors Review and Approve Classroom Hours

  1. Instructors can go to Performance Tools > Time Tracking > Pending

  2. Instructors will only be able to view the apprentices assigned to their Cohorts

  3. Use the filter and select Activity = Courses to view only pending time sheets for classroom hours

  4. Use the Cohort filter to view only pending time sheets for a specific Cohort

  5. Edit, delete, or approve the time sheets

Note: Admins can view if an on-the-job Manager has approved a timesheet for a class and shouldn't have by filtering on the Approver's Name and selecting Activity = Courses.
