How to Digitally Sign Apprenticeship Agreements (Appendix B aka ETA-671)

Use this process if you'd like to use Apprentix to digitally sign apprenticeship agreements.

Overview

Previously, signing the Apprenticeship Agreement required generating the document in Apprentix, downloading it, and obtaining a wet signature. While this manual option remains available, you can now complete the entire process digitally within Apprentix, saving time and reducing back-and-forth.

Step-by-Step Instructions

1. Add a New Apprentice

  1. Navigate to the People section in Apprentix.

  2. Click Add Member to add a new apprentice.

  3. Enter the apprentice’s details, such as their name and apprenticeship start date.

  4. When prompted with the question, "Do you want to allow the apprentice to digitally sign the Apprenticeship Agreement?", select Yes to enable the digital signing workflow. Selecting No will revert to the manual process, where you generate the agreement via the three-dot menu.

  5. Submit the apprentice’s information to initiate the onboarding process.

2. Apprentice Onboarding Process

Once the apprentice is added:

  • The apprentice receives an email with a link to set up their Apprentix account.

  • They follow these steps:

    1. Set a Password: Click the link in the email to create a password.

    2. Complete Profile: Log in and update their profile, including:

      • Name (with any corrections)

      • Birthday

      • Phone number

      • Address

      • Emergency contact

      • Demographic information required for the Apprenticeship Agreement

    3. Review and Sign Agreement: After saving their profile, they are directed to a screen to view and sign the Apprenticeship Agreement.

3. Signing the Apprenticeship Agreement

  • The apprentice clicks to view the Apprenticeship Agreement - Form 671, which is automatically generated with all pre-filled information from the platform.

  • A progress bar indicates the form is being prepared.

  • Once generated, the apprentice can review the completed Department of Labor form, which includes all relevant details.

  • They digitally sign the agreement by typing in their name and clicking the Sign button.

4. Post-Signing Process

  • After signing, the apprentice sees a confirmation message and can continue using Apprentix.

  • The following parties receive an email with the fully executed agreement as an attachment:

    • Apprentice

    • Program Admins

    • Program Sponsor

  • The email includes:

    • Confirmation that the Apprenticeship Agreement has been signed

    • The apprentice’s name and occupation

    • The signed Form 671, including:

      • The apprentice’s signature and date

      • The sponsor representative’s signature

    • The employer representative’s signature

  • A signed copy will be automatically saved and stored in Apprentix under Documents in the tab called "Filed".

Key Benefits

  • Efficiency: Digital signing eliminates the need for manual signatures from the sponsor and employer, as their approval is already recorded in the platform when the apprenticeship is set up.

  • Convenience: The fully executed agreement is automatically emailed to all relevant parties.

  • Compliance: The signed agreement can be uploaded to RAPIDS or saved for your records.

Manual Option (Still Available)

If you prefer the manual process:

  1. Add the apprentice without selecting digital signing.

  2. Navigate to the apprentice’s profile, click the three-dot menu, and select Generate Apprenticeship Agreement.

  3. Download the form and obtain wet signatures as needed.
