What happens after an Apprenticeship Agreement is signed, and how is the documentation processed?

This process details what happens if you are in Apprentix's apprenticeship program and if you're running your own program.

What Happens After an Apprenticeship Agreement is Signed?

When an Apprenticeship Agreement is signed, a series of system-driven processes ensure the completion and proper documentation of the agreement. Below is an overview of what occurs:

1. Automatic Generation of the Apprenticeship Agreement

Once the signing process is completed, the Apprenticeship Agreement (Form 671) is automatically generated by the system. This document includes:

  • The apprentice’s information

  • Program details

  • Any sponsor or employer representative signatures recorded on the platform

The system pre-fills these details based on the information entered during the registration process, streamlining accuracy and efficiency.

2. Post-Signing Actions

After the agreement is digitally signed, the following actions take place without requiring any additional input from the customer:

  • The signed agreement is shared with the Program Sponsor via email.

  • The signed agreement is automatically saved in Compliance > Documents > Filed (you do not need to upload a signed copy since it's done for you).

  • If you are an Apprentix Fractional Sponsor client, Apprentix will automatically register your apprentice with the Department of Labor.

  • If you are a tech only customer, your Program Sponsor initiates the apprentice’s registration process with the Department of Labor.

A Department of Labor representative then reviews the submission for compliance and approval. If all looks to be in order, the rep will approve the registration.

  • For Apprentix Fractional Sponsor clients, we have a dedicated rep in Texas who reviews our pending apprentice registrations multiple times a day so registrations are typically approved the day they are submitted or the next morning (depending on when the agreement was actually signed).

3. Notifications to the Customer

Once the registration is approved by the Department of Labor, the customer is notified of the apprentice’s successful registration. The notification is an email that provides the customer with the name of the apprentice who has been registered.

  • An Apprentice Registration ID number will also be added to the apprentice's profile and can be found by going to People > click on the apprentice's name > Job tab > scroll down to the Apprenticeship Details section to find the field called Apprentice Registration Number.

4. Issuance and Availability of the Davis-Bacon Certificate

After the registration is approved:

  • The Davis-Bacon certificate is issued and uploaded into the system.

  • Apprentix Fractional Sponsor clients will receive the Davis-Bacon certificate the same day as the apprentice's registration is approved or the next morning (depending on what time the registration was approved).

  • An email notification is sent to the customer, informing them of the certificate’s availability.

This process ensures transparency and keeps all stakeholders updated on the status of the apprenticeship.
