Can I make an Apprentice an Admin in Apprentix?

In Apprentix, an Apprentice cannot also be assigned the role of an Admin. This rule is in place to maintain a clear separation of responsibilities and ensure proper checks and balances within the system.

Why can’t an Apprentice be an Admin?

Allowing an active Apprentice to have Admin rights would remove important safeguards in the platform, such as oversight and accountability. For this reason, the system blocks apprentices from being promoted directly to Admin while they are still actively enrolled.

What to do if you want to make an Apprentice an Admin

If you'd like to make someone currently enrolled as an Apprentice an Admin, you'll need to follow these steps:

1. Cancel their Apprenticeship

An active apprenticeship must be canceled first. This will:

  • Trigger your Program Sponsor to begin the de-registration process with the Department of Labor.

  • Stop any further tracking of apprentice hours for that individual.

⚠️ Important: Once the apprenticeship is cancelled, their hours will no longer count toward apprentice requirements.

2. Assign Admin Role

After the cancellation is complete, you’ll be able to assign the Admin role to that individual.

3. Who can cancel an apprenticeship?

Only an Admin can cancel an Apprentice.

4. How to cancel an Apprentice

Once an Admin is in place:

  1. Go to People.

  2. Click on the Apprentice’s name

  3. Click on the the Actions tab.

  4. Select Apprentice Cancellation.

Your Program Sponsor will automatically be notified once this step is completed, and will handle the next steps with the Department of Labor.
