When an apprentice is suspended, they’re temporarily removed from active participation in the program. Their timeline pauses, and they no longer receive tasks or communications until reinstated.
Key Features
Reinstatement Confirmation Flow: Instead of automatic reinstatement, Admins are now prompted to confirm whether the apprentice should return.
Extend Suspension: If the apprentice isn’t ready to return, you can extend their suspension by choosing a new reinstatement date.
Cancel Apprenticeship: You also have the option to cancel the apprentice from the program entirely, directly from the prompt.
Timeline Accuracy:
The apprentice’s timeline reflects the full suspension gap.
All prior data and timelines are preserved and resume when reinstated.
Audit Trail:
Every action—reinstatement, extension, or cancellation—is logged with a timestamp.
The reason for the original suspension remains accessible.
RAPIDS Follow-up Task:
When an Admin chooses Reinstate Apprentice or Cancel Apprenticeship, a follow-up task is created under Compliance > Stay compliant > Update RAPIDS.
This task notifies the Program Sponsor to update the apprentice’s status in RAPIDS and mark it complete in Apprentix.
If your organization uses Apprentix Fractional Sponsorship, this task will be handled for you by the Apprentix team, since Apprentix is the official Sponsor.
Why This Matters
Previously, apprentices were reinstated automatically on the scheduled date, regardless of readiness. This posed challenges for Admins who needed flexibility—especially when circumstances changed, or further suspension or cancellation was necessary.
This update ensures you can make the right call at the right time, with a clear process and built-in follow-ups for compliance tracking.
How It Works
When the scheduled reinstatement date is approaching:
The system will not automatically reinstate the apprentice.
Instead, Admins will receive a notification to take action—but only when the reinstatement date is 7 days away or less.
From that point, you’ll be prompted to choose one of the following actions:
✅ Reinstate Apprentice — Marks them active and resumes their timeline.
⏳ Extend Suspension — Choose a new reinstatement date.
❌ Cancel Apprenticeship — Removes them from the program permanently.
Important: Enable Notification Settings
To receive the reinstatement prompt, you must have this setting enabled:
Compliance > Notification center > "Reinstate from suspension: Notify Admins to reinstate suspended apprentices"
If this setting is turned off, the notification will not appear and reinstatement must be handled manually.
Additional Notes
This feature is available to Admins only.
The reinstatement notification appears 7 days before the scheduled date.
You can still view the apprentice’s full timeline and history during suspension.
Once canceled, an apprentice cannot be reinstated—cancellation is permanent.
RAPIDS update tasks are only created for Reinstate or Cancel actions, not for extensions.
