How to Transfer an Apprentice to a New Occupation

To move an apprentice into a new occupation, follow the steps below. It’s important to complete these actions in the correct order to ensure a smooth transfer.

Step 1: Cancel the Apprentice in Their Current Occupation

Before adding the apprentice to a new occupation, you must first cancel them in their existing one.


Step 2: Add the Apprentice to the New Occupation

  1. Navigate to the new occupation.

  2. Click Add Member.

  3. In the pop-up window:

    • At the top, select Existing User (this is usually set to New User by default).

    • Enter the apprentice’s email address to confirm they already exist in the system.

    • Select the appropriate Apprentice role.

    • Enter the apprenticeship start date.

  4. Click Submit.


Step 3: Apprentice Completes Onboarding Again

After being added:

  • The apprentice will receive a notification.

  • They’ll need to go through the onboarding process again, including:

    • Signing a new agreement

    • Registering under the new occupation

  • This is required because the apprentice is technically signing up for a brand new apprenticeship occupation and therefore must sign a new agreement for them to be registered in it.


Step 4: Transfer Is Processed

Once:

  • The apprentice has been cancelled from the original occupation, and

  • They have completed onboarding in the new occupation

👉 Your team will initiate the transfer on the backend.


Step 5: Confirmation

  • You’ll receive a notification once the transfer is complete.

  • A new Davis-Bacon certificate will be issued for the apprentice under the new occupation.


Quick Checklist

Before expecting the transfer to complete, make sure:

  • The apprentice is cancelled from their original occupation

  • They’ve been added as an existing user in the new occupation

  • They’ve completed onboarding and signed the new agreement
